Project Coordinator and Assistant
Functional Group/Department: Commercial Quality
The employee is acquainted with the annual company and division goals and is aware of how he/she can
influence these through his/her performance.
Overall purpose of job
Responsible for the coordination and management of the Commercial Quality department; Coordinate and
arrange the daily work of the director; Financial related matters; Procurement related work and Support online
or offline meetings /workshop /audit /inspection/project management and related activities.
Key responsibilities
1. Perform diversified administrative responsibilities as the senior executive, which includes calendar
management, meeting arrangements, travel arrangements, invitation letter, department slide preparation
and expense reimbursement etc.
2. Coordinate Procurement to manage CQ department PO,
a) Contract/Quotation/IO/PR/PO/Invoice & Payment follow-up for COMPANY IM China CQ team
b) Act as a super user as assigned for systems such as Apex, EMP, E-process, etc. Handle Purchase -Order
(PO) submissions in the EMP system and manage the subsequent payment processes.
3. Implement record maintenance and archiving e.g., O-chart, SharePoint, Distribution List etc.
4. Be responsible for financial related work for COMPANY IM China CQ team.
a) Department Budget management.
b) Monthly accrual as required by finance team.
c) Operate EMP/ E-process related system to comply with company related policies.
5. Deal with new employees on-boarding (incl employee/contractor/ inter) according to company policy.
6. Support online or offline meetings /workshop /audit /inspection/activities, incl. meeting rooms booking,
material, and documentation etc.
7. Support office supply, e.g. stationery and business card ordering etc;
8. Track and coordinate related project owner to support project implementation.
9. Defect drug and AE reimbursement, Ledger maintenance and payment arrangement.
10. Other works assigned by line manager.
任职要求
Required Qualification and Core Competencies
1. Master's degree or above.
2. Experience in project management, digitalization, and Six Sigma quality system.
3. Ideally above 5 years solid working experience, preferably with experience in administrative or assistant
work with pharm knowledge.
4. Excellent project management skills.
5. Excellent organizational and communication skills and Strong sense of responsibility.
6. Ability to work under pressure, flexibility and teamwork, able to prioritize tasks.
7. Expert knowledge of Microsoft software and presentation.
