岗位职责
1. Executive Support
• Provide daily administrative support to the Vice President and Senior Director, ensuring smooth coordination of schedules, meetings, priorities and follow-ups.
• Manage complex and frequently changing calendars across multiple time zones, resolving conflicts with good judgment and business awareness.
• Prioritize meeting requests, deadlines and leadership commitments based on urgency, business impact and stakeholder needs.
• Prepare agendas, meeting materials, briefing notes, presentations and follow-up actions as needed.
• Track key deliverables and reminders to help both leaders stay organized and prepared.
2. Cross-Business Coordination
• Act as a coordination point across two different business teams, maintaining clear communication and appropriate confidentiality.
• Build effective working relationships with leadership teams, internal stakeholders, HR, Finance, Legal, Commercial, Operations and other functions.
• Support cross-functional meetings, leadership reviews, business updates, town halls, team events and other key forums.
• Help ensure timely information flow between the supported leaders and relevant stakeholders.
3. Travel, Expense and Logistics
• Arrange domestic and international travel, including flights, hotels, ground transportation, visas and detailed itineraries.
• Prepare and submit expense reports accurately and in a timely manner.
• Coordinate meeting logistics, room bookings, catering, visitor arrangements and technology support.
• Support external customer, partner or internal leadership visits when required.
4. Communication and Documentation
• Draft, edit and format emails, presentations, reports, organizational charts and other business documents.
• Maintain distribution lists, contact lists, team files and other administrative records.
• Handle confidential information with discretion and professionalism.
• Ensure documents and communications are accurate, clear and aligned with Thermo Fisher standards.
5. Process and Team Support
• Identify opportunities to improve administrative processes and increase efficiency.
• Support onboarding logistics for new team members where needed.
• Assist with purchase orders, vendor coordination, invoices, budget tracking or other operational processes as required.
• Provide backup support to other administrative colleagues when appropriate.
任职要求
【Minimum Requirements/Qualifications】
1. Education
• Bachelor’s degree, diploma or equivalent professional experience preferred.
• Additional certification in business administration, office management or related discipline is a plus.
2. Experience
• Minimum 5–7 years of administrative or executive assistant experience.
• Experience supporting senior leaders, preferably at VP, Senior Director or equivalent level.
• Experience supporting more than one leader at the same time is strongly preferred.
• Experience working in a global, matrixed, multinational or fast-paced environment preferred.
• Experience in healthcare, life sciences, diagnostics, manufacturing or technology-related industries is a plus.
3. Knowledge, Skills and Abilities
• Strong calendar management, prioritization and organizational skills.
• Ability to balance competing priorities from two leaders in different business teams.
• Excellent written and verbal communication skills.
• High level of discretion, integrity and confidentiality.
• Strong interpersonal skills with the ability to work across levels, functions and geographies.
• Proactive, resourceful and able to anticipate needs before being asked.
• Comfortable working independently with limited direction.
• Strong attention to detail and ability to deliver accurate work under tight timelines.
• Proficiency in Microsoft Outlook, Teams, PowerPoint, Excel and Word.
• Experience with systems such as Workday, Concur, SAP, SharePoint or similar tools preferred.
• Ability to adapt to different leadership styles and business rhythms.
